Law Firm CRM Integration That Remembers Every Lead's Source

Your firm already pays for a CRM. The problem comes up before the lead reaches it. Enquiries arrive from your ads, your website, and your phone line, and some of them never make it into the system your team works in all day. The ones that do often arrive without the one detail that helps you the most: where they came from.

We connect those sources to the CRM you already own. Your intake team gets one queue instead of five places to check, and you can see which channel produced each inquiry.

Your Firm's Lead Intake Flow Automated

This service is for firms that generate leads from more than one place and lose track of them between the first contact and the consult.

We connect your website forms, your ad platforms, your call tracking, and your chat or AI agents to the CRM your firm already uses. Your intake team stops hunting for new enquiries across several tools. Your reporting starts from real lead sources instead of memory.

We change nothing about your CRM. We work within the system your team already knows, and your data is left where it is. It is one piece of the intake technology we build for law firms.

What Your Firm Gets

Every inquiry from site forms, calls, and ads is compiled in one centralized place without manual entry.

Every lead lands in one place

A form submission, a phone call, a chat, or an ad enquiry all create a record in your CRM. Nobody has to remember to add it later.

The source travels with the lead

We write the channel and campaign onto the record when the lead arrives. When that lead becomes a client, the source goes with them, so a signed case can be traced back to the ad or page that produced it.

Your team responds faster

A new inquiry triggers an instant text or email, and a task is sent to the person responsible for it. How fast your firm replies is the single biggest thing in your control with conversion.

Your CRM stays your record

We add to your CRM. We do not overwrite it, replace it, or ask your team to learn a new system.

Our Process

A proven approach that delivers results

1

Access review

We look at your CRM and your lead sources, and confirm what your current plan allows us to connect. Some plans restrict this, and it is best to find out sooner rather than later.

2

Map the real path

We trace one live lead from first click to the CRM record and show you where it stalls.

3

Build and test

We connect the sources, write the source data onto each record, and run your own leads through it before anything goes live.

4

Launch and watch

We start with a share of your traffic, check that the data looks right, then widen it.

5

Hand over

You get written documentation of what connects to what, so your team is not dependent on us for the basics.

See where your leads are disappearing

Bring us one recent lead and we will trace it with you. We will show you which systems it touched, where the source was lost, and what it would take to connect them. That is a 30 minute call without any commitment.

How we connect a website form, an ad click, and a phone call to your CRM

Most firms treat these as three separate problems. That is not really the case; this is one problem with three different points of entry.

When someone clicks your ad, we capture the click ID from that platform and hold it in the visitor's browser. If they fill in your form, that identifier travels with the submission into your CRM. And if they phone instead, your call tracking passes the same source data across, the call arriving with its campaign attached. Chat and AI agents work the same way.

The result is one record per lead, channel written with it, however the person chose to contact you. For a closer look at how this works, see our whitepaper, Mapping every Google & Meta Lead.

What "the lead keeps its source" means once it becomes a client

A lead record and a client record are different things, and the handoff between them is where source data may be deemed irrelevant and wiped.

What we do instead is write the source onto the lead as it arrives, and keep that information even after conversion. Months later, when you need to know which channel produced your best client, you have your answer. This is how cost per signed case is possible, rather than cost per click.

Why some CRMs let us read but not write

Legal software is built differently across vendors. Some may accept new records freely and some may accept leads but not client records. Some may only open connections on higher plans, while some may restrict it entirely on entry tiers.

We clarify this during our review and tell you plainly what is possible with the plan you have. So wherever a system cannot be written to, we will design around it. Your lead will arrive, the source will be recorded, and you will make the final call on the client record. You get an attribution either way.

Where the handoff breaks between "lead received" and "someone called back"

In most firms we look at, it’s not your software that has a gap. Instead, it is that the notification goes to one inbox, and the person responsible for it may be in a meeting, on a call, or out of the office.

This can be fixed with routing rules and escalation. The system will assign the lead, create a task, and if not actioned within your time window, tell someone else. The CRM will no longer be the place where leads go to be found later.

Which systems we connect

We work with the intake and CRM systems your firm already owns, including:

Clio Grow, Lawmatics, MyCase client intake and legal CRM, Filevine intake and lead tracking, Smokeball lead management, Actionstep CRM, CosmoLex CRM, Law Ruler, and Lead Docket.

Where a firm runs a general CRM alongside its practice system, we also connect HubSpot and Salesforce.

On the source side, we work with Google Ads, Meta Ads, Google Analytics, CallRail, website forms, live chat, and AI chat and voice agents.

If your system is not on this list, ask us. Most systems with an open connection can be reached, and we will tell you honestly if yours cannot support this service. If you are still choosing between them, our guide to the best legal intake CRMs compares the main options.

What we need from your team

We need less than most firms expect. We need access to your CRM and your lead sources, one person who can answer questions about the journey of a lead as it goes through intake, and 30 minutes to trace a live lead with us. We will do the rest and document it for you.

The intake workflows we automate

Integration is only half of our service. Connected data won’t chase anyone.

  • Capture: form, call, chat, and ad leads create a record automatically, source attached.
  • Qualification and routing: inquiries are sorted by practice area, location, and case type, and sent to the right person.
  • Speed to lead: an instant text and email is sent the second you have a lead, before your team picks it up.
  • Follow-up sequences: prospects who do not book get a timed sequence instead of a single attempt.
  • Consult booking: scheduling, confirmations, and reminders connect to one record.
  • Pipeline and status: stages update as work happens, and you are notified when leads turn stale.
  • Conflict check at intake: obvious conflicts will surface before a consult is booked.
  • Handoff: when the client signs, the matter is created in your practice management system without re-typing. See our practice management integration service for that side of the process.

Frequently Asked Questions

Still have questions? Contact our team via ask@timetechnologiesllc.com

What does CRM integration cost?

It depends on how many sources you have and what your CRM allows. A firm with one form and one ad platform will be a fairly small build. A firm running four channels, call tracking, chat, and a practice management handoff may be a larger one. We only quote after the access review, not before, because a system that restricts any connections we need will change the work involved.

How long does it take?

Most builds go live within a few weeks. We start with part of your traffic so you never need to wait on a full switchover.

Do you guarantee more leads?

No, and you should be cautious about anyone who does. What we control here is whether leads are reaching your CRM, whether the source is being recorded, and how fast your firm is responding. Those are the parts that decide how many of the leads you already get turn into clients.

Do you work with solo firms?

Yes. A solo practitioner needs one tidy path from their website and phone into their CRM, and follow-ups while they are in court. This is a smaller build than what a bigger firm may need.

What about boutique firms?

Boutiques have an entirely opposite problem. Volume is manageable, but every lead is worth a lot, so missed inquiries cost more. For boutiques, we add routing and escalation so that nothing sits unread over weekends, holidays, after office hours.

And mid-sized firms?

Mid-sized firms will have several people managing intake without the shared definition of a qualified lead. Here the work may be technical in part and otherwise about agreeing on the rules. Then we must automate these so the rules can stick.

Do we have to switch CRMs?

No. The point of this service is that you do not have to. We only connect the systems you own. If we think a different CRM might serve you better than what you already have, we will say so. We do not sell software and our partnerships do not bias our recommendation. We will be fully transparent with you throughout.

Who owns the integration?

You own the integration. We build it, document it, and hand it over completely. You are not renting anything.

What happens after I book?

We have a 30 minute call. You describe to us how your intake runs and which systems are involved in it. We ask for access, trace the journey of a live lead with you, and come back with what we would connect and what it would cost. No commitment and no obligation to proceed.
